CHARITY SONG GUIDELINES

THE PROCESS

We are delighted to have you onboard the good ship School-Events for this year's charity Christmas song project 2025.

The first steps to completing the project are as follows:

Having made contact with the significant person in charge internally at your school, we will email you a guide backing track (in English or Welsh at your request) with a member of our recording engineering team singing the melody line, a backing track without any singing on it, a pdf of the lyrics as well as the sheet music and chord charts in case any budding musicians want to record themselves playing instruments.

With listening to the song you will notice a 30 second intro before the actual song begins in earnest. This is a deliberate slot for a member of staff or local Member of Parliament to say a few words wishing Christmas cheer.

STEP 1 - RECORDING THE INTRO

This spoken part must fit in with the backing track and should ideally not be longer than 30 seconds. This can be directly recorded into any iPhone or android phone. Please do not have any backing track music or any other extraneous sounds in the background, our team will marry up your intro to the music. REMEMBER: keep the phone as still as possible, speak slowly and clearly and be within 2 inches of the inbuilt microphone in your phone/device.

STEP 2 - SENDING THE INTRO

The file size of the recording shouldn't be very large so options with getting the audio over to us include: direct email to info@tjb-publishing.co.uk / using an FTP host such as 'Wetransfer' or sending it to us via 
WhatsApp on (07399) 378905. We will reply via email to confirm receipt of your intro recording, send you a mixed version just so that you get a clearer idea of how we will be putting together your song.

STEP 3A - SETTING UP THE CHOIR

We would like the choir to be in close proximity of each other. It is REALLY important that there is as little background noise as possible (for example a large room with lots of echo/reverb and/or traffic noise/school-bells or ringtones going off etc.

STEP 3B - SETTING UP THE PHONES

If you have any members of staff willing to hold any phones out to record the singing then that is suitable, however if it is possible to have the phones on stands equally spread out among the choir then this would be better. All we can say is the more phones the better!! Try to play the backing music as quietly as possible but of course loud enough so that the choir sing in tune and in time. The focus is to record the voices of the children and not the backing music, our team will stitch the magic together in our studio.

STEP 4 - THE FINAL RECORDING

We are sure that you would have seen/heard a clapper board being snapped shut when film producers make movies. This is a simple but effective way of synchronising the sound with the pictures. For our purposes if we could have someone making a loud clap at the beginning of the recordings so that we will be able to synchronise all of the phone recordings, that would be great!

STEP 5 - SIGNING OFF THE RECORDING

Before we turn the song into a fully downloadable music track we will send you the final recording for you to approve.


STEP 6 - THE DOWNLOAD

Once we have all agreed to the finished track being ready for release we will create a digital purchase section on the shop page of our website. There will be 3 options for parents/guardians/friends to purchase. These will be a £3, £5 or £10 donation. We will generate a report of who has downloaded what donation option and from which school. We want to be absolutely transparent and say that we will only take a maximum of 15% to cover our expenses and merchant fees with our financial institution. All of the rest of the money will go directly to you for you to do as you wish. We will transfer the money within an agreed time-frame.

STEP 7 - THE RESULT

We would love to share this experience by recording post event reactions from both staff and pupils. For those who agree to this, we will edit an audio collage for you to upload to your school website and ours.

We will ask your school to select the best photos taken by to be featured online within our website and yours to further celebrate this proud moment with your school community and parents/guardians.
